User Profiles
There are four types of profiles within Apto: Administrator, Operations, Broker & Associate. There can only be one administrator per 50 users on any one account, while there can be an unlimited number of broker, associate, and operations profiles.
The Apto Administrator has access to all attributes of the account aside from some managed items utilized by integrations and managed packages such as Apto. This is the person that is responsible for making most changes to the structure of the organization as well as the liberties or restrictions of the account users.
Associate: for research and data entry
Broker: for brokers that use main CRM and Pipeline objects
Operations: for marketing & office managers (most similar to system administrator)
Changing a User’s Permission Settings as an Admin
Navigate to your setup menu by clicking on “Setup” on the gear icon in the top right of your Apto.
Type “users” in the Quick Find in the top left corner.
Click on “Users” to see the users in your Apto account, the email address they’re affiliated with and what type of profile they are.
Click on the profile type of the user you would like to edit
Once in the profile you would like to edit...
Scroll down the page, under “System” click on System Permissions.
Click Edit to add or remove any permissions of that profile type
Note: A common permission that is changed based on profile type is "Export Reports" Users can export data into .csv files using the report builder in Apto. Often times, this feature is only available to System Admins as a way to prevent data being taken from the system by those who shouldn't.
3. Click Save.
Changing a User’s Profile Type
From your setup menu type in and click on “users” in the Quick Find in the top left corner.
Click on Edit to the left of the user’s name to change their profile type.
Click on the menu next to "Profile" and switch to the Profile you prefer.
Click Save at the bottom or top of the page.
